Who we are
This policy is from The Mayor Joe Garrison Foundation Inc., a Florida nonprofit corporation recognized as a 501(c)(3) tax-exempt organization, EIN 33-1928613. We are based in Dundee, Florida, and serve Dundee and the communities around it in Polk County.
We are an independent foundation. We are not the Town of Dundee, and this is not a town website, department, or program.
This policy explains what we collect through this website and what we do with it. It covers the forms on our Contact, Get Help, and Give pages, and it covers the email and text messages you can choose to receive. It works together with our Terms of Service.
Information you give us
You can send us a form on our Contact, Get Help, or Give pages. Depending on the form, we ask for your name, your email address, and a message. You may also choose to give us your phone number, your city, and your ZIP code. Your phone number is optional, and so are city and ZIP. We only ask for what we need to reply to you or to help, and you can leave the optional fields blank.
If you ask for help, you may choose to tell us about your situation. Share only what you are comfortable sharing. Please do not send financial account numbers, Social Security numbers, or medical records through these forms.
What we record when you submit a form
When you submit a form, we keep your answers along with a few details about the submission itself. We record whether you checked the box to receive email updates and whether you checked the box to receive text messages, the date and time of your submission, the page the form came from, the versions of the notices and policies shown to you. When you opt in to texts, we also record your IP address as consent evidence. We keep these records so we can honor your choices and show what you agreed to.
Your form is stored in the foundation's contact and request records so a person here can follow up. We also send a notification to the foundation's inbox when email delivery is available. Submitting a form does not charge you anything, and checking a box does not sign you up for any paid service.
How we use information
We use the information you send us to:
- Reply to your message and follow up on a request for help.
- Coordinate volunteers and events.
- Send the email updates or text messages you asked to receive.
- Share foundation updates, assistance follow up, volunteer and event news, and fundraising messages.
- Acknowledge gifts and keep donation records.
- Keep records of consent and meet our legal and tax duties.
- Run the website and keep it secure.
Text messages and mobile information
We send text messages only if you check the separate box on a form that asks whether you want to receive them. That box is unchecked unless you check it, and it is separate from the box about receiving emails. Giving your phone number and agreeing to texts are always optional. You can submit any form without checking the text message box, and your choice about texts is never a condition of asking for help, getting help, volunteering, or giving.
If you do check the box, you agree to receive text messages from Mayor Joe Garrison Foundation about neighbor updates, follow up on requests for help, volunteer and event updates, and fundraising. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time. Reply HELP for help. Message delivery depends on your mobile carrier and can be delayed or may not go through at all.
We will not sell or share your mobile information, including your phone number and your text message opt-in or consent, with third parties or affiliates for promotional or marketing purposes. We may share it with service providers who help us deliver the messages you asked for, such as a platform that sends texts on our behalf. Those providers may use your information only to deliver our messages for us, and not for their own marketing.
You can stop text messages at any time by replying STOP. Reply HELP for help, or contact us using the details at the end of this policy.
How long we keep information
We keep the information you send, and the records that go with it, for as long as we need it to reply, to provide help, to run the foundation's programs, to keep our records, and to meet legal and tax requirements. We do not have a fixed retention period for every record. When we no longer need information, we delete or archive it in the ordinary course of business.
How we protect information
We take reasonable steps to protect the information we hold, including limiting access to the people who need it to do their work. No method of sending or storing information over the internet is completely secure, so we cannot guarantee that information will always stay private. Please keep that in mind when you decide what to send us.
Children
This website is meant for adults. We do not knowingly collect information from children. If you believe a child has sent us information, contact us and we will remove it.
Your choices
- You can ask us to correct or delete the information you sent.
- You can ask us to stop emailing you, or use the unsubscribe link in an email.
- You can stop text messages at any time by replying STOP.
- You can still ask for help or volunteer even if you stop receiving messages.

Changes to this policy
We may update this policy from time to time. When we do, we will change the effective date at the top of this page. If a change matters, we will say so clearly on this page.
